Job Description

POSITION OVERVIEW

 

The HR Administrator will support the WFP Human Resources department to deliver outstanding customer service to the business. The HR Administrator will be responsible for the administration of electronic employee files, maintaining high data quality in Western’s HRIS system, the employee onboarding process and the support of Learning and Development initiatives.

 

Our ideal candidate will have excellent attention to detail and be able to maintain organization in a fast-paced environment. Multi-tasking and prioritization, along with superior customer service are also required. Prior experience in administration and customer service is required, and experience or a desire to grow within the Human Resources department is an asset.

 

RESPONSIBILITIES

 

Employee Recruitment and Onboarding

  • Job postings and advertising.
  • Enter new employee details into HRIS system (ADP Workforce Now) and ensure data integrity
  • Prepare HR documents, such as employment contracts
  • Guide new hires through the onboarding process, ensuring the necessary documents are completed
  • Schedule new hire testing (e.g. Drug and Alcohol)
  • Assist Talent Acquisition team with updating the ATS system (Career Builder)
  • Administration of benefits forms for enrolment, late enrolment, and change forms
  • Post biweekly announcements on Western’s intranet
  • Conducting exit interviews

Event Coordination and Administration

  • Act as a first point of contact in answering internal and external inquires with respect to event bookings
  • Arrange candidate travel, booking flights, hotels as appropriate and candidate expense reimbursement
  • Assist the Learning and Development Manager in training initiatives and event coordination

HR Reporting

  • Create regular reports and presentations on HR metrics
  • Track organizational changes and update organization charts
  • Process and code Human Resources invoices for payment
  • Vendor set up requests for HR
  • Other duties as assigned

 

 

Job Requirements

Qualifications and Skills

  • Degree or diploma in Human Resources with 1- 2 years of relevant experience, ideally in a corporate environment.
  • CPHR candidate or CPHR designation is considered an asset.
  • Previous experience with ADP Workforce Now or similar product considered an asset
  • Strong computer skills with intermediate proficiency in Microsoft Office
  • Ability to multi-task and prioritize in a fast-paced work environment
  • Attention to detail and a high regard for accuracy
  • Excellent client service and communication skills
  • Ability to handle confidential and sensitive information with tact and discretion
  • High degree of initiative with a pro-active approach to work
